Privacy policy

This policy explains how Agency Scout handles personal information in line with the Protection of Personal Information Act 4 of 2013 (POPIA).

Who is responsible

Agency Scout is the responsible party for personal information processed through this website. Contact our information officer at hello@agencyscout.co.za.

What we collect

• Briefs. When you use Get matched, we collect your name, email address, and optionally your company, phone number, service, city, budget and the brief itself, plus the page you sent it from.
• Emails. If you email us, we keep the correspondence.
• Technical data. Our servers log IP addresses, browser type and pages requested, to keep the site secure and working. We don’t use advertising cookies or sell data.
• Analytics. We use Google Analytics to understand how the site is used: pages visited, device and browser, approximate location and how you arrived. It sets first-party analytics cookies; you can block them in your browser settings or with Google’s opt-out add-on.
• Agency listings. Agency profiles contain business information from public Google Business Profile listings, such as business name, address, phone number and website.

How we use it

• To read your brief and find suitable agencies for it.
• With your consent, given on the form, to share your brief and contact details with up to three suitable agencies so they can contact you about your project.
• To reply to you, and to prevent spam and abuse.

We only share a brief with agencies after you have ticked the consent box. Each agency that receives your brief is responsible for how it uses your information from then on. We don’t use briefs for marketing, and we don’t sell personal information.

How long we keep it

We keep briefs and related correspondence for up to 24 months after our last contact with you, then delete them, unless the law requires us to keep them longer. Server logs are kept for no more than 90 days.

How we protect it

Personal information is stored on access-controlled servers and transmitted over encrypted connections. Only people who need it to run the matching service can see briefs.

Your rights

Under POPIA you may:

• ask what personal information we hold about you, and request a copy;
• ask us to correct or delete it;
• object to processing, or withdraw your consent at any time (this doesn’t affect sharing that already happened);
• complain to the Information Regulator (South Africa) at inforegulator.org.za.

Agency listings

Agency profiles describe businesses, using information they have published on Google. If you run a listed agency and want details corrected or the listing removed, see list or correct your agency.
